SIGIR-AP is committed to collecting your data through fair, legal, and transparent means. When you visit the SIGIR-AP website, your web browser automatically shares the following information with us and our web server logs: the date and time of your visit, your IP address, and the type of your browser and operating system.
We do not intentionally collect personally identifiable information about individuals unless they voluntarily provide it, such as during the registration process for SIGIR-AP membership, conferences, and workshops.
Our websites use session variables (cookies) to track member logins, but no other cookies are used. Cookies are small text files that help websites recognize repeat users, facilitate ongoing access, and allow for tracking usage behavior and compiling aggregate data for content improvement and targeted advertising. Cookies do not harm your system. Most browsers allow you to deny or accept cookies; however, please note that cookies may be necessary for certain website features.
SIGIR-AP does not collect credit card information. All payments are made directly to payment services like PayEase (in US dollars or RMB), except when special arrangements are made, such as payments via cash or checks. In such cases, sensitive payment information is erased, and transaction records are retained only for accounting purposes. Records older than five years are destroyed. SIGIR-AP is not responsible for the privacy practices of PayEase.
We aim to store and transmit your data securely to prevent unauthorized access, alteration, or deletion. All electronic data is securely stored on a web server managed by a professional service provider, with administrative access limited to SIGIR-AP officers and staff.
Your data is used only for the purposes specified at the time of collection, such as contacting members about membership status, SIGIR-AP developments, conferences, workshops, and other related matters. Any other use of your data will require your explicit consent.
SIGIR-AP members may use the information on the website and membership directories for individual networking and communication purposes. No part of this information may be redistributed, copied, or reproduced for commercial or non-personal use. Members are prohibited from compiling member names and email addresses for product promotion or unsolicited communications and cannot sell these compilations. SIGIR-AP reserves the right to monitor information use and take appropriate action, including restricting access for policy violations.
SIGIR-AP does not sell or transfer personally identifiable information to unaffiliated third parties. However, to keep you informed about the latest papers from the journal Management and Organization Review (MOR), we may disclose your name and email address to the publisher, with the stipulation that they do not disclose or use this data for other purposes.
If required by law to disclose your data, we will take reasonable steps to inform you, unless legally prohibited.
We retain your data only as long as necessary for its intended purpose. Once that purpose expires, the data is destroyed to prevent recovery. Data stored in logs, backups, and audit trails is destroyed on a cyclical basis as these records are overwritten. We will make commercially reasonable efforts to delete a member's personal information upon request, although some residual information may remain due to backups and records of deletions. Requesting data removal may affect your ability to receive services from SIGIR-AP, including updates on activities and the journal MOR.
Members can review and update their data at no cost and opt out of the membership directory at any time. Please contact us if you wish to review or update your data or remove your name from the membership directory.
These policies are effective as of August 2025. SIGIR-AP reserves the right to change this policy at any time and will notify users of a new privacy statement.
This statement and the policies outlined do not create any contractual or legal rights for any party.
